Work with archived evidence
Overview
Unlimited storage is ideal for agencies who want to store all their data in a single, secure location that can be easily accessed for years to come. Users never need to worry if evidence is important enough to store and never have to monitor monthly limits. Any and every kind of digital evidence can be loaded, saved, and organized for years to come.
Organizations are often required to keep digital evidence for years, but systems for managing this data are inconsistent and make discovery and recovery challenging. Axon Unlimited Storage provides a modernized approach to digital evidence archiving. Instead of physically searching through a collection of hard drives in a closet, users can quickly search for relevant files inside Axon Evidence.
Axon Evidence auto-archives files that have not been accessed for 6 months. These archived files are still searchable, can be retrieved with a single click, and are available within a day. All Cloud Storage Unlimited plans use auto-archive technology.
Working with archived evidence
There are actions you can take even if a piece of evidence is archived:
- View derivative videos, such as a redacted video
- View or download other videos in a Multicam piece of evidence if they aren’t already archived
- See existing markers and clips
- Review existing transcripts
- Delete the evidence
- Create or alter metadata of the evidence, such as categories and tags
- Assign the evidence
- Add the evidence to a case, which will restore the evidence from archive
- Change permissions to the evidence
- Add notes to the evidence
- Export markers
- Flag the evidence
- Request an audit trail of the evidence
- Share the evidence along with a case
Other actions can’t be taken with archived evidence. You must restore the evidence from archive first if you want to do one of the following:
- View or download the main video
- Create new derivative videos, such as new redactions
- Create new markers or clips
- Create new transcripts
Adding archived evidence to a case will restore it from archive, and you can share the case, but you can’t share the archived evidence until it’s been successfully restored.
Restoring evidence from archive
There are three ways to restore evidence from archive:
- Add the evidence to a case.
- Choose Restore on the evidence details page.
- When multiple pieces of evidence have been selected, select Evidence Actions on the action bar, then select Restore from archive. When the evidence is restored, you will get an email informing you that the process is complete.
Restoring evidence from archive can take up to a day.
Adding archived evidence to a case
- On the case details page, select Add Evidence.
- Search for the evidence you need to add and select it from the search results.
- Select Add to Case. This will start the restore process.
Sharing a case with archived evidence
If you have added archived or restoring evidence to a case and need to share the case with another agency, you can do so by sending a case download link. However, the archived evidence can’t be shared until it has finished restoring.
- From the case details page, select Manage Shares to open the Manage Shares pane.
- Follow the steps to select the correct partner agency, user or group, and attachment types to add.
- Once you have finished adding recipients, select Done.
- A Case sharing will be delayed window will appear. Here, you have the option to either continue or cancel. To continue, select Share Anyway.
Evidence that was added to the case while archived will show as greyed out and won't be available for selection. The Status will be Active (restoring from archive). A note will be displayed above the evidence list indicating that evidence being restored from archive can’t be added.
Sharing a Case by Copy with archived evidence
If you have added archived evidence to a case and need to share the case with another agency, you can do so. However, the archived evidence won’t be shared until it has finished restoring, and it takes more time to complete the case share.
- From the case details page, select Manage Shares, then select New Share.
- Under Select a sharing method, choose Share a copy of case.
- Enter a partner agency, user, or group, and then enter an optional message.
- Select the attachment types you wish to add, and then select Next.
- Select the evidence you wish to share. If you add archived or restoring evidence to the case, a Case sharing will be delayed window will appear. Here, you have the option to either continue or cancel. To continue, select Share Anyway.
Sharing a case download link with archived evidence
If you have added archived evidence to a case and need to share the case with another agency, you can do so. However, the archived evidence won’t be shared until it has finished restoring, and it takes more time to complete the case share.
- From the case details page, select Manage Shares, then select New Share.
- Under Select a sharing method, choose Share a download link.
- Enter a User or Email address, and then enter an optional message.
- Select the attachment types you wish to add, and choose a package type.
- Enter the Duration in days that the download link will remain active.
- Select Send Download Link.
If your case includes archived or restoring evidence, these will be included in the download link. However, the download link may take additional time as it can’t be shared until the evidence has finished restoring.
