The Kane County State’s Attorney’s Office adopted Policy Chat to simplify access to policy and procedural knowledge across its justice system. Initially, the goal was straightforward: help staff quickly reference use-of-force or body-worn camera policies across various law enforcement agencies during evidence review.
In practice however, the team discovered Policy Chat could solve a wider problem, connecting people to everyday information they need.
“Policy Chat was built for policy and discovery, but we’re also using it as our internal help tool,” said Anthony Ortiz, Director of Operations at Kane County State Attorney’s Office. “We’ve turned our office instructions into a living, searchable assistant.” By uploading internal guidelines, administrative workflows, and onboarding materials, Kane County transformed Policy Chat into a centralized knowledge hub where employees can instantly find answers, without digging through PDFs, shared drives, or old email chains.

What began as a compliance and policy review tool evolved into the foundation of a smarter, more connected office. Staff now rely on Policy Chat to navigate administrative instructions, training materials, and procedural updates, giving them confidence that every answer is grounded in official documentation.
“I know Policy Chat was meant for policy and discovery,” Ortiz said, “but we’ve taken it further, using it like an internal ChatGPT to navigate all our office instructions. It’s changed how our team accesses information day to day.” What once required searching through static documents or asking supervisors is now immediate. “[It was] built for policy and discovery, but it’s been perfect for everyday answers,” Ortiz summarized.
