License Tiers
Your agency has entered into a temporary Configuration Period to allow your Evidence.com administrators to make the necessary updates for the new License Tiers. The primary administrator tasks are to set Evidence.com license tiers for each of your existing roles and verify that your role assignments match the permissions your users should have.
This topic provides information about setting license tiers for your roles, the error message you might receive, and how to reassign users to different roles.
You can also see the Frequently Asked Questions for more information on License Tiers.
If you are having trouble with any of the steps outlined here, please reach out to your Axon Representative.
Setting License Tiers for Your Roles
Your agency has entered into a temporary Configuration Period that will allow administrators to make some necessary updates. Your primary task is to set an Evidence.com license for each of your existing roles.
On the menu bar, click Admin and then under Agency Settings, click Roles & Permissions. This takes you to the new Roles page, which allows you to see the number of Basic and Pro licenses your agency has available. It also displays the various roles your agency has configured and allows you to edit each.
From here, click Edit (pencil) next to the role you wish to configure: This takes you to the Permissions page, where you can edit the permissions for each role.
Select the license type (Pro or Basic) you would like to apply to this role from the Tier drop down.
Note: If you select “Basic” for a role that previously had Pro features activated, the Pro features will become unavailable. Users in the Basic role who still need access to Pro features will need to be moved into a Pro role.
When you are done selecting your tier and reviewing the permission settings, scroll to the bottom and click Save.
You will then be taken back to the Roles page, where you may click on the next role and assign a license tier to it. Please continue this process until you have finished assigning a license tier to each role.
Error Messages
If your agency does not have enough licenses available, you will see an error message when you try to update the role:
We recommend that you click Go Back and reassign users out of the role as described in the next section.
If after you reassign users you still do not have enough licenses, please contact your Axon representative for assistance or to purchase additional licenses in that tier.
If you select Continue anyway, you must still reassign user roles to comply with your agency's licenses or your roles will be subject to automatic changes when the Configuration Period ends and License Tiers enforcement is in place.
Reassigning Users
If you continued after receiving an error message while updating a role or notice that the number of available licenses is a negative number, you must reassign users.
From the Roles page, click on the Assign Roles: This takes you to the All Users search page, where you can find the users assigned to each role.
In the Role drop down, select the role you want to review and click Search.
From here you may review the users in each role and bulk reassign them by clicking on the check box next to their names and then clicking Update Role. This displays a pop up message where you can select the new role the users should be assigned to.
Note: Each role’s associated tier is listed next to it in parentheses.
Click OK to save your changes.
Repeat this process for all of your roles and users until all of your users are assigned to the correct roles and license tiers.
After you complete this you may also notice that there are some users that are no longer with your agency or no longer need access to the system and should be deactivated. To deactivate a user, follow the same process used to reassign users, but instead of clicking Update Role, click Deactivate Users.
Note: Deactivated users do not count towards your license totals and do not need to have their roles reassigned.
Finished!
Once you have completed saving a license tier for each role and the number of available licenses shown in the Roles Page License Dashboard are not negative, you are finished!
Congratulations, you have completed the necessary configuration changes for your agency and can notify your local Axon representative.
