Notifications and member experience

This article provides information on submission notifications and what community members see when they interact with an Axon Community Request individual or public requests by phone (text) or email.

Submission notifications

Each time a submission is received for a public request portal or individual request invite, Axon Evidence sends an email notification to the request owner.

However, for public requests, if Axon Evidence receives additional submissions for a public request before the user visits and triages the request portal, then additional emails are not sent to that user.

Public requests

This section provides an overview of what community members see and how they interact with public requests.

Note

For agencies that have French set as their default language in Axon Evidence, the Axon Community Request upload screen text, Terms of Use, and Privacy Policy information will also appear in French.

  1. The community member clicks the agency-provided link and is taken to the request welcome page. The community member selects Submit Evidence, enters their information, and then selects Send Link to receive a private link. The private link for submissions expires after 10 days.
  2. After selecting Send Link, the citizen receives the text message on their phone with the private link. Tapping the link takes them to a website where they can upload files.
  3. From the upload screen, the community member can add files for uploading. They also have the option of adding a caption for each file. More files can be added by tapping Add more. Each submission is limited to:
    • 25 files
    • 60 GB per file
    • 200 GB per link

    For public requests, the limit is 2 GB per file and 10 GB per link.

  4. After the community member has added all their files and the files are uploaded to the website, they tap Submit to transfer the files to your agency's Axon Evidence account and then can close their browser.

Individual request experience

This section provides an overview of what a community member sees and how they interact with an individual requests, whether the request is sent by SMS or email.

After the request is sent, the community member receives either a text message or an email that contains a private upload link.

Opening the link opens a secure webpage where they can upload files.

The first screen welcomes them and provides an option to start uploading.

Community members can add files and may add a caption to each file. More files can be added at any time.

Each submission is limited to:

  • 25 files
  • 60 GB per file
  • 200 GB per link

After the community member has added their files and the upload is complete, they select Submit to transfer their files to your organization's Axon Evidence account.

Automated Reminders

Automated reminders enhance the evidence submission process by sending notifications to invitees who haven't yet submitted requested evidence.

Note

Automated reminders are not currently available for customers in the European legacy and U.S. Federal regions.

  • SMS and email reminders:
    • Sent at three intervals: 24 hours, 72 hours, 10 days, and 28 days after the first invite.
    • Reminders are not sent for anonymous requests.
    • Reminders stop after a request has been fulfilled by the recipient.
    • All reminders are recorded in the audit trail.

Community members can opt out of receiving automated reminders by clicking Opt Out of Reminders on any of the received notifications. Community members can still submit evidence using the original request link until it expires.

Community Request captions

Administrators can configure requests to allow or prohibit community-submitted captions. When enabled, captions allow community members to add free-text messages to each uploaded file, which are stored with the evidence and included in evidence and request audit trails when shared. To add a caption, the submitter enters text in the caption box during upload.

Evidence submitted through Axon Community Request source channels is automatically tagged for search and reporting in Axon Evidence using the Axon Community Request tag, replacing the former AXONCitizen tag. Existing search and filtering workflows continue to function as expected.

The Evidence Created report includes an optional field that displays the community-submitted caption when available. Users can select the Community Request Caption field when generating the report; if no caption was provided, the field appears blank, helping provide additional context in reporting outputs.

Enable captions

  1. Open Reporting.
  2. Select Evidence Created report.
  3. Select the date start and end frame.
  4. Enable Community Request Caption.
  5. Select which fields you want included in the report.
