Extending Retention Periods
When evidence is scheduled for deletion, you can extend how long it's retained before being added to the deletion queue. The period of time that the retention is extended is equal to the length of the retention policy currently in effect for the evidence. The category assigned to the evidence determines the retention policy. If more than one category is assigned to evidence, the longest retention policy is applied.
For example, if an evidence file is assigned a category with a 30-day retention policy and deletion is scheduled 20 days from today, extending the retention policy would reschedule deletion to 50 days from today.
Permissions and Configuration
The ability to extend evidence retention is controlled through a new, separate permission within Evidence Management on the Roles and Permissions page.
Admins can configure this permission based on a profile’s access level:
- Any Evidence
- Their Groups’ & Their Own
- Only Their Own
- Prohibited
If a user’s role does not have this permission, the Extend option does not appear on the evidence detail page.
How to Extend Retention Periods
Follow these steps to extend retention periods:
- Select Evidence, and then search for the evidence files you want to export.
- Search for and select the evidence you wish to extend to open it in the evidence detail page.
- Review the assigned category and evidence retention policy. The ability to extend retention periods is contingent upon the existing policy and the relationship of the evidence to its category. Learn more about categories and retention policies.
- Select More (...).
- Select Extend.
- In the confirmation window, select Extend. The evidence detail page is updated with the new deletion date.
