Bulk actions

Take action on multiple evidence files at once using the action bar in Axon Evidence.

After selecting evidence from your search results, use the action bar to update metadata, manage access, or perform other bulk tasks.

About the action bar

The action bar appears after you select multiple pieces of evidence. It groups together the most common bulk tools to help you work efficiently with multiple files.

Available tools depend on your role and permissions. Some options might not appear for everyone, or for all selected evidence.

By default, when you select all, up to 500 pieces of evidence are selected (or fewer if fewer results are available). The number of items selected appears on the action bar. To adjust the number of selected items, select Change selection on the action bar. Then choose one of the following options:

  • Select first 100: Selects the first 100 items in your results.
  • Select next 500: Adds the next 500 results to your selection (up to 5,000 total).
  • Select first 5000: Selects the first 5,000 items from your search results.

Note

For organizations using Draft One, you can generate Draft One reports directly from the evidence search page. After selecting evidence—including files that are still uploading (status = Processing)—select Draft One from the bulk action menu to start a report.

Bulk add or remove evidence categories

You can add or remove categories from up to 500 pieces of evidence at a time from the evidence search page.

  • If you do not have permission to apply the Restricted or Confidential access class to evidence, you will not be able to assign categories that apply to the access class change to evidence. Anyone applying categories using Axon mobile or desktop apps are not restricted from assigning categories.

A category name can be up to 50 alphanumeric characters.

Note

If mandatory notes are enabled, you can bulk add, but can't bulk remove categories. You will only be able to individually remove categories from the evidence details page. Disabling mandatory notes will allow you to bulk remove categories.

If mandatory metadata is enabled, you must add the required custom metadata and/or category to make edits to the evidence. This includes edits on the evidence details page.

  1. Select Evidence, and then search for the evidence files you want to add a category to.
  2. In the search results, select the check box next to the evidence ID for each evidence file that you want to add a category to. Or, select the top checkbox to select all evidence on the page.
  3. Select Edit Metadataon the action bar, and then select Category.
  4. In the Edit categories dialog box, Choose whether you want to Add or Remove categories:
    1. Add Category: Select Add, and then in the Add Category list, select the category you wish to add. Continue to add additional categories as needed.
    2. Remove: Select Remove, and then in the Remove Category list, select the category you wish to remove. Continue to add additional categories as needed.
    3. Remove all: Select Remove, and then in the Remove Category list, select Remove all values. If more than one piece of evidence is selected, this removes all categories for all selected evidence.
  5. Select Submit to add or remove the evidence categories.
  6. In the confirmation window, select OK.

Once a category has been added, it is shown in the Category column of the search results. An audit trail event is logged to indicate that you have completed this action. This is viewable in the User Audit Trail, or Evidence Audit Trail.

Bulk add or remove evidence tags

You can add tags for up to 100 evidence files from the Evidence Search page. You can remove tags for up to 500 evidence files from the evidence search page.

Tags are labels that you can apply to evidence and cases. Adding tags to evidence can help you find the evidence more easily later. Evidence searches allow you to filter the search results by tags. A tag can be up to 256 alphanumeric characters.

  1. Select Evidence, and then search for the evidence files you want to add a tag to.
  2. For each evidence file that you want to add tags to, select the check box next to the evidence.
  3. Select Edit Metadata, and then select Tag.
  4. In the Edit tags dialog box, choose whether you want to Add or Remove tags:
    1. Add Tag: Select Add, and then in the Add Tag list, select the tag you wish to add. Continue to add additional tags as needed.
    2. Remove: Select Remove, and then in the Remove Tag list, select the tag you wish to remove. Continue to add additional tags as needed.
    3. Remove all: Select Remove, and then in the Remove Category list, select Remove all values. If more than one piece of evidence is selected, this removes all tags for all selected evidence.
  5. Select Submit to add or remove the evidence tags.
  6. In the confirmation window, select OK.

Bulk reassign evidence

When you need to change the owner of evidence to another person, you can reassign the evidence from the results of an evidence search.

  1. Select Evidence, and then search for the evidence files you want to update IDs for.
  2. For each evidence file that you want to reassign, select the check box to the left of the evidence.
  3. Select Evidence actions on the action barMore Actions (...), and then select Reassign.
  4. In the Reassign evidence window, enter the name of the person you want to assign the evidence to. Axon Evidence shows a list of matching names as you enter the information, select the appropriate person from the list.
  5. Select Reassign.
  6. In the confirmation window, select OK.

Once evidence has been reassigned, the new owner is shown in the Owner column of the search results.

Bulk download evidence

If you have the Download permission for evidence, you can download multiple evidence files at a time. After selecting files for download, you receive an email with a download link to a single file containing all of their requested evidence. Axon Evidence supports the following file types for the download file:

  • ZIP: The selected evidence files are provided in a ZIP file.
  • ISO: Tthe selected evidence files are included in an ISO image, which can be used to create a CD-ROM or DVD.
  1. Select Evidence, and then search for the evidence files you want to download.
  2. For each evidence file that you want to include in the download, select the check box next to the evidence ID. If you want to include all evidence shown in search results, select the top check box.
  3. Select Evidence actions on the action bar, and then select Download
  4. In the Download evidence dialog box, choose your Download Format - Zip or ISO. Choosing ISO allows you to create a CD-ROM or DVD.
  5. Select the options you wish to include with your download, choose from:
    1. Table of Contents
    2. Transcripts
    3. Audit Trails
  6. Select Download.

When the files are ready, you'll receive an email with a download link. Select the link to open or download the file, (the exact behavior depends on your browser). You may be asked to sign in.

Note

When you include a Table of Contents in your download, it will accompany the bulk download as an Excel spreadsheet and includes the fields: File Name (with a link to the evidence file), Evidence ID, Evidence Title, File Type, File Size, Evidence Duration, Date Recorded, Uploader-First Name, Uploader-Last Name, Uploader-Badge ID, Assignee-First Name, Assignee-Last Name, Assignee-Badge ID, and Agency Name.

Bulk export search results

  1. Select Evidence, and then search for the evidence files you want to download.
  2. For each evidence file that you want to include in the download, select the check box next to the evidence ID. If you want to include all evidence shown in search results, select the top check box.
  3. Select Export on the action bar.
  4. Select a file type for the export. Choose from:
    1. PDF
    2. Text
    3. CSV
    4. Excel
  5. Select Export. The export opens or downloads the file. The exact behavior depends on the browser you use and its download settings for files.

Bulk delete

You can delete evidence files that are listed in evidence search results. Evidence that you delete is added to a deletion queue for 7 days. This help prevent the unintentional deletion of evidence.

  1. Select Evidence , and then search for the evidence files you want to delete.
  2. For each evidence file that you want to delete, select the check box next to the evidence ID. If you want to include all evidence shown in search results, select the top check box.
  3. Select Evidence actions on the action bar, and then select Delete.
  4. In the confirmation window, select Delete. In the search results, the status of the evidence changes to Queued for Deletion.

Bulk restore evidence

From evidence search results, you can restore evidence that has a status of Queued for Deletion. Restoring evidence removes it from the deletion queue.

Note

When evidence that is queued for deletion is restored, its new deletion date is determined as follows:

If the evidence is categorized under a retention period, a new deletion date is set for 30 days from the current date. If it falls under a category without a retention period, no deletion date is assigned.

  1. Select Evidence, and then search for the evidence files you want to restore.
  2. For each evidence file that you want to restore, select the check box next to the evidence ID. Be sure the status of evidence in the Status column is Queued for Deletion.
  3. Select Evidence actions on the action bar, and then select Restore from deletion.
  4. In the confirmation window, select Restore. In the search results, the status of the evidence does not change. To confirm that the status of the evidence has changed to Active, search for the evidence again.

Bulk ID updates

You can change the ID assigned to up to 5,000 evidence files from the Evidence search page. You can also change the ID individually from the Evidence detail page.

An evidence ID can be up to 75 alphanumeric characters, unless your administrator has configured evidence ID validation that enforces different minimum or maximum ID length.

  1. Select Evidence, and then search for the evidence files you want to update IDs for. To select multiple evidence files, use one of these options:
    • Select individual files: Select the checkbox next to each file.
    • Select all evidence when there are fewer than 5,000 files: Select the top checkbox to select all search results at once. Then, on the action bar, choose Select more, then choose Select first 100.
    • Select up to 5,000 files: If the search results contain more than 5,000 evidence files, select the top checkbox to select all items on the current page. Then, on the action bar, choose Select more, then choose Select all.
  2. Select Edit Metadata on the action bar, and then select ID.
  3. In the Edit ID dialog box, choose whether you want to Replace or Remove the ID:
    • Replace: Select Replace with, and then in the ID list, enter a new ID.
    • Remove all: Select Remove all.
  4. Select Submit to update or remove all IDs.
  5. In the confirmation window, select OK.

After an ID has been updated, it is shown in the ID column of the search results. The ID options are listed as Replace with or Remove all because each piece of evidence can only have one ID.

Bulk video redaction

Public disclosure requests can be time consuming, especially when large volumes of videos must be reviewed and potentially redacted. To aid with these large requests, the Bulk Redaction feature allows you to queue video evidence for bulk redaction.

Bulk redaction creates a copy of the original video and applies a blur filter over the entire copied video. It can also remove audio for the duration of that copy as well. The blur over the entire video allows requester to see what happened in the video without potentially revealing personally identifiable details such as faces, addresses, or license plates. This presents an opportunity for agencies to fulfill the public disclosure request in the least amount of time.

It is recommended that you verify bulk-redacted videos to ensure the proper level of blur is applied prior to releasing the redacted videos.

  1. Select Evidence, and then search for the evidence files you wish to include in the bulk redaction.
  2. For each video evidence file that you want to redact, select the check box next to the evidence ID. If you want to redact all evidence shown in search results, select the top check boxs.
  3. Select Evidence actions on the action bar, and then select Redact.
  4. In the Create Bulk Request pane, enter a Title and Description.
  5. .Select View Settings.
  6. Select the object types you want to include in the bulk redaction.
  7. Select a Redact option and Blur level for each object type:
    • Redact options: Choose from Auto-Redact or Detect Only.
    • Blur level: Choose from Extra Light, Light, Medium (default), Heavy, Extra Heavy, or Blackout.
  8. Select Create and Run.

When the bulk redaction is complete, you'll receive an email with a download link. Select the link to open or download the file, (the exact behavior depends on your browser). You may be asked to sign in.
