Reporting overview

Axon Evidence allows administrators and those with the reporting permission to generate reports showing Axon Evidence utilization. These options can help your agency turn that data into valuable answers to ensure your Axon Evidence account is providing you with the flexibility and utility your agency deserves. Axon Evidence reports are spreadsheets that can be opened by many spreadsheet applications. Reports include all relevant metadata for the items included in the report. Using the Microsoft Excel pivot table function, you can group evidence by any of the fields, such as owner or badge ID, to get a better understanding of individual officer usage or certain category retentions over a given period. The reports available are the following:
- Evidence Created: Lists all evidence on your agency’s account in order of when the data was created. It also lists all associated metadata attached to those pieces of evidence and shows the number of days between when a piece of evidence was recorded and when it was uploaded to Evidence.com. The report also includes information on evidence sharing through access control lists for internal and external users and groups, and partner agencies.
- Category Summary: Lists the current count of total files and file size in megabytes (MB) for each category as well as the percent of files assigned to that category.
- User Summary: Lists total files and file size in MB, broken out by owner of the evidence. The counts are further broken out by evidence type, active, and deleted evidence.
- User Device History: Lists Axon CEWs (including TASER 7 Battery, Cartridges, etc.), Axon Body Worn and Flex Cameras, and VieVu Cameras that were assigned to or unassigned from the selected user for the selected date range (Note: Only data from July 2017 to present is available). The report lists the Device Model, Device Name (as shown in Axon Evidence), Serial Number, and Assigned and Unassigned Dates. If the Unassigned Date is blank, the device is still assigned to the user.
- Evidence Deleted: Lists all evidence deleted, the associated metadata, and shows the number of days between when a piece of evidence was recorded and when it was uploaded to Evidence.com for your agency’s account, in order of when the data was deleted. This report provides better monitoring of automated deletions and help ensure a proper retention policy is in place.
- Uncategorized Evidence: Lists users with uncategorized evidence assigned to them. A second tab on the export lists every piece of uncategorized evidence and includes the owner information, evidence title, date recorded, and link to the evidence.
- Axon Video Summary: Lists usage metrics on Axon videos uploaded to your agency. The first tab is a summary of Number of videos, hours, and MB uploaded. The second tab breaks out the uploads by the specified grouping: Day, Month, or Year.
- Sharing Audit: Lists all user actions related to sharing evidence and cases. Included in the report are details such as the following examples:
- Date and time of sharing event
- Who initiated the sharing event
- What was shared – evidence or a case
- How was it shared – internal or external to your Axon Evidence organization
- The ID of the evidence or case shared
- The recipient of the shared evidence or case
- The permissions shared to the recipient and how long the link is active
- Device Summary: List information on all the devices (body cameras and CEWs) belonging to your agency. The report includes the following information for each device:
- Device model, name, and serial number
- Device status
- First name, last name, and badge ID of assigned user
- Firmware version
- Last upload date/time
- Device last connected
- Dock (serial number) and date-time for devices that can be placed in Axon Docks.
- Body Camera Device Settings (Speaker volume, Vibration, Indicator Lights, and Stealth)
- Error Status
- Device Home and Point of Contact information
- TASER 10 lifetime cartridge deployment tracking
- User Audit Trail: Generates the User Audit Trail for a single user, for all users in an Evidence Group, or for all users with a selected Rank in an Evidence Group. The report includes all the standard user audit trail information and adds columns for Rank and Badge ID.
Note: Users must have the Generate User Audit Trail Report permission enabled for their assigned Role to have access to this report.
You can run prebuilt reports to review activity, audit actions, track evidence in your organization, and more. Reports can take from a few minutes to several hours to generate, depending on the amount of data.
To run a report, you need the Generate reports permission under Admin access and the Any evidence permission under Evidence management.
When you configure a report, the Prebuilt report panel on the Reports page updates to show the report description, your selected options, and the date range.
Step 1 – Select a report
- Select Reports.
- Select a report name. When you select a report, the Prebuilt report panel shows a description of the report. Available reports:
- Evidence Created
- Category Summary
- User Summary
- User Device History
- Evidence Deleted
- Uncategorized Evidence
- Axon Video Summary
- Sharing Audit
- Device Summary
- Self Review Summary
- User Audit Trail
- Lineage Log
- Draft One Report
Step 2 – Configure report data
After you select a report type, the configuration options are shown. Options vary by report type.
- Select a Summary type (for user related reports only):
- All users: Select All users, then choose an evidence group.
- Single user: Select Single user, then choose a user name.
- Select any additional filters. Depending on the report type, you might see fields for evidence group, user, case ID, or time (day, month, year).
- Select the Columns you want to include in the report. To remove a column, select the X next to its name.
- Select a Format: CSV, XLSX, PDF, or JSON. PFD format is only available for reports with 16 columns or less.
Step 3 – Select a date range
Select a date range:
- Choose a preset range (yesterday, last week, last 10 days, last month, year to date, last year).
- Or, select a custom range using the date picker.
Step 3 – Run the report
After you configure the report the way you want, select Run Report.
The report status will show:
- Queued: Report is waiting to be processed.
- In progress: Report is processing.
- Failed: Report did not generate due to an error.
- Download: Report is ready.
When the report is ready, you will receive an email with a download link. You can also download it from the Download link on the Reports page.
Save your report as a template
If you want to reuse a report configuration:
- Select Save as template.
- Enter a name for the template.
- Select Save.
Saved templates appear on the Reports page. Use the Templates radio button to view them. The next time you open the Reports page, you can switch between Templates and Prebuilt reports using the radio buttons.
Downloadable reports
Previously generated reports appear on the Reports page in the Downloadable reports section.
- Select Download to get a copy.
- Reports are automatically deleted after 60 days.
After a report is ready, you can download it from the Reports page or using the download link provided in the notification email sent by Axon Evidence. The Reports page download queue lists the lat 10 reports you requested.
Download a report from the Reports page
- Select Reports.
- In the Downloadable reports section, locate the report you want to download.
- Select Download next to the report name.
Downloading reports with multiple segments
If the report contains multiple segments due to its size (e.g., more than 500 entries per segment), Axon Evidence will prompt you to download additional segments.
- When prompted, select Download for the first segment of the report.
- After the first download completes, Axon Evidence will display a dialog box to download the next segment.
- Select OK to confirm and download the next segment.
- Repeat this process for all remaining segments until the report is fully downloaded.
Download a report from the notification email
Axon Evidence sends a notification email when a report is ready to download. To download the report via email:
- Open the notification email sent by Axon Evidence.
- Select the download link provided in the email. A web browser opens your Axon Evidence organization. If the sign-in page appears, enter your credentials and select Sign In.
- The report will download to your device. The exact behavior depends on the browser you use and its download settings for files.
