Policy Chat
Policy Chat is a custom AI tool designed for organizations, based on GPT (Generative Pretrained Transformer) technology. Retrieval-Augmented Generation (RAG) is an AI technique that combines information retrieval with generative AI models. RAG improves the accuracy and relevance of AI responses by giving them access to external knowledge bases. Unlike general models, Policy Chat prioritizes accuracy and compliance with strict information security requirements.
Policy Chat helps officers, supervisors, executives, and civilians quickly access information on policies, improving efficiency, compliance, and performance.

Privacy and Security
Policy Chat is CJIS compliant and uses state-of-the-art encryption and authentication measures to ensure that all data remains secure and private. Each organization’s data is isolated and accessible only to authorized personnel within that organization.
Data Processing
Axon acts as a data processor for Policy Chat. We process inquiries solely to provide accurate responses based on existing policy documents you provide. You remain the data controller of all policy content, and Axon's role is limited to facilitating access to this information through Policy Chat.
Automatic Data Collection
Policy Chat automatically collects certain details about user interactions with the service and their devices to improve the functionality and security of the service.
This may include:
- User Engagement and Activity Metrics – Tracks active daily, weekly, and monthly users, new user activations, repeat usage rates, total queries submitted, follow-up query volume, session lengths, retention rates, and user satisfaction through thumbs up/down ratings.
- Sales and Adoption Tracking – Monitors the number of licenses and agencies purchasing Policy Chat, including those participating in trials, fully deploying the service, and conversion rates from trials to paid subscriptions.
Data Handling
Policy inquiries submitted to Policy Chat are processed in real time and are not stored by Axon beyond what is necessary for transaction logs. These logs are anonymized and used solely for service improvement and troubleshooting.
Confidentiality
Access to Policy Chat is restricted to authorized users as determined by each customer organization. Axon implements strict access controls and authentication measures to ensure that only authorized users can access the service.
