Partner administration
Axon Justice makes it easy for your users to share evidence and cases with partners. The organizations you share with or who share with you are partner organizations. Partner organizations have access only to data that you specifically share with them. All unshared data owned by your organization remains completely unavailable to partner organizations.
Partner organization lists
In the Admin section of Axon Justice, the Partner Agencies page has two lists that administrators can use to control how your organization collaborates with its partner organizations.
- My Agency Can Receive From: The organizations that can share with your users and groups. These organizations invited you to share your user and group lists. They have added your organization to their My Agency Can Send To list. When a user in one of these organizations wants to share cases and evidence with your organizations, the users and groups of your organizations are available and can be found when the user in the other organization searches for people in your organization to share with.
- My Agency Can Send To — The organizations whose users and groups are available for your organization to share with. These organizations accepted your invitation to share their user and group lists. They have accepted your invitation and your organization appears on their My Agency Can Receive From list. When a user in your organization wants to share cases and evidence with a partner organization, the users and groups of these organizations are available and can be found when your user searches for people to share with.
Sharing with partner organizations
Users who are allowed the Share with Partner Agencies permission can share cases with organizations on your My Agency Can Send To list. Users who are allowed the Share Externally to Authenticated Users permission can share evidence with organizations on your My Agency Can Receive From list.
Invite an organization to share with your organization
In order to allow your users to share cases and evidence with another organization, you must invite the other organization. When you invite an organization, you are inviting that organization to share their organization's contact list with your organization. Their contact list consists of the following items:
- All their users.
- Their groups that have the Allow Partner Agencies to share with this group setting enabled. For more information, see Share Cases.
Administrators of organizations that you add to your My Agency Can Receive From list receive a notification email. Before you can share a case with the partner organization, an administrator from the partner organization must accept the invitation to collaborate with your organization.
- Select Admin and then under Agency Settings, select Partner Agencies.
- Select the My Agency Can Send To tab.
- Select Add Agency.
- Choose how to add the agency:
- Select Add by name to search.
- Use the search fields to filter results by agency name, city, state, ZIP code, or country. Results update as you type.
- In the results list, select Add next to the agency name.
- Select Add by URL to enter their URL.
- Enter the agency URL, then select Add Agency.
- Select Add by name to search.
- On the Review Policy page, choose a sharing policy:
- To use an existing policy: Select a policy, select Next, review the configuration, then select Next.
- To create a new policy: Select Create New, enter a policy name, configure the settings, select Next, review the configuration, then select Next.
- Enter an optional Message.
- Select Send Invitation.
The organization appears in the My Agency Can Send To list, with the status "Awaiting Acceptance". Administrators of the new partner organization receive an email notifying them of the invitation to share cases and evidence to that organization.
After the partner organization has accepted the request to collaborate with your organization, users of your organization who have permission to share with partner organizations can share with the new partner organization.
Accept or reject an invitation to collaborate with an organization
When another organization adds your organization to their My Agency Can Send To list, Axon Justice sends a notification email to administrators of your organization. Before the other organization can share cases and evidence with your organization, you must accept the invitation.
Alternatively, if you do not want to allow the other organization to collaborate with your organization, you can reject the invitation.
- Select Admin and then under Agency Settings, select Partner Agencies.
- Select My Agency Can Receive From, find the organization who invited you to collaborate, and then select one of the following actions:
- Accept - Allow your users to receive evidence and cases with the other organization. Administrators of the partner organization receive notification emails when you accept the invitation.
- Reject - Disallow your users to receive evidence and cases with the other organization.
- Select OK to confirm your choice.
End collaboration with a partner organization
If you no longer want to collaborate with a partner organization, remove the organization from the applicable lists on the Partner Agencies page.
