Auto-Transcribe includes configurable settings, audit trails, and permissions that ensure accurate, controlled, and transparent transcript management across your organization.

Settings

Auto-Transcribe has the following settings you can configure to ensure it is used efficiently by your organization's users:

  • Agency Defaults
  • Languages

To configure these settings, log in to Axon Evidence, select Admin in the main navigation menu. Open the Auto-Transcription Settings page that appears in the Evidence Settings section.

Agency Defaults

In the Agency Defaults section, the Default Auto-Transcript Language setting lets you select which language is set as the default Auto-Transcript language for any user who is added to the organization.

Languages

The options in the Languages section let you select which languages are available in Auto-Transcribe for your organization's users. Select Allow all languages to let users access all available languages in their Auto-Transcripts, or select Allow only certain languages and set which languages are allowed.

Auto-Transcripts and translations of Auto-Transcripts are fully supported for the following languages:

  • Dutch (Netherlands)
  • English (United States)
  • French (Canada)
  • French (France)
  • German (Germany)
  • Italian (Italy)
  • Portuguese (Brazil)
  • Spanish (Spain, United States)
  • Multilingual English-Spanish
    • If your organization serves a multilingual population, it is highly recommended that you set your default language to Multilingual English-Spanish to ensure that your Auto-Transcripts are generated as expected.

Over 50 additional languages are available through a 'Public Beta' program. To request that a beta language be activated for your agency, contact your CSM or Axon Sales Representative.

Audit trail

The following Auto-Transcribe activities are recorded in the evidence and user audit trails:

Auto-Transcribe Request Received A user requested an Auto-Transcript
Auto-Transcript Created The Auto-Transcript generation completed, and the user was able to view the Auto-Transcript on the evidence details page and in Transcription Assistant.
Evidence Transcript Accessed A user viewed the Auto-Transcript on the evidence details page or selected Edit Transcript to view Transcription Assistant.
Evidence Transcript Downloaded A user selected Download in Transcription Assistant or the Auto-Transcript was included in a bulk evidence download.
Evidence Transcript Edited Changes made to the Auto-Transcript in Transcription Assistant were saved. The audit trails only records that edits were saved; the text edits themselves are not recorded.
Evidence Transcript Verified A user verified an Auto-Transcript.
Evidence Transcript Unverified A user unverified an Auto-Transcript
Evidence Transcript Deleted A user deleted a piece of evidence, and the associated Auto-Transcript was also deleted.
User Performs Keyword Search Across Evidence A user searched for a keyword across transcripts, either from Evidence search or when filtering evidence within a specific case.

This event only appears in user audit trails.

Permissions

All permissions related to Auto-Transcribe can be found in the Evidence Management section and must be enabled for all Roles using Auto-Transcribe. For each of these permissions, you can set whether the permission applies to:

  • Any evidence
  • Their groups' & their own evidence
  • Only their own evidence
  • Prohibited

The ability to interact with transcripts requires a Pro license.

If you want any roles to be able to access evidence transcripts and metadata (for example, so they can use Draft One), but NOT view the underlying media, you can prohibit the View evidence video and images permission, which also appears in the Evidence Management section.

To assign a permission to a role:

  1. Log in to Axon Evidence and select Admin.
  2. In the User Management section of the Admin Console, select Roles & Permissions.
  3. Select the pencil icon on the role that needs to be able to use Draft One features.
  4. Select the Allowed option beside the necessary privileges.
  5. Scroll down to the bottom of the screen and select Save.

View transcripts

If you have permission to view a piece of evidence, you will automatically also be able to view the transcript. Viewing evidence is controlled by the following permissions:

  • View Unrestricted Evidence
  • View Restricted Evidence
  • View Confidential Evidence

If you have a Pro license and permission to view a piece of evidence, but the Auto-Transcribe permission is not enabled for your Role, you will only see the transcript on the evidence detail page if a transcript has been created for that piece of evidence.

If you have a Basic license and a transcript has been created for a piece of evidence, you can download the transcript from the Transcript tab that appears below the media player on the evidence details page.

Generate, edit, and verify transcripts

To take actions related to transcripts, you must also have the following permissions, which require a Pro license.

Search across transcripts

The Search across Transcripts permission lets a user search transcript keywords across multiple pieces of evidence. Searches will only include transcripts for evidence the user has List Evidence permission to access (unrestricted, restricted or confidential).

This permission behaves slightly differently compared to the rest of the Auto-Transcribe permissions. Unlike the rest of the Auto-Transcribe permissions, you can either set this permission to Allowed or Prohibited. This permission is enabled by default for all users with the default Admin or Investigator roles.

If a user has List Restricted Evidence permissions enabled, but not View Restricted Evidence permissions, they will see evidence in the search results list, but keyword matches or preview highlights will be hidden.

Note

The search across transcripts feature can only be used by organizations who have the Auto-Transcribe Unlimited Add-On plan

Generate and view translations

Once generated, a translation is not saved and can only be accessed while a user is viewing the evidence. As a result, to generate and view translations, you must have permission to view evidence. You do not need any of the other Auto-Transcribe permissions, although you must have a Pro license.
